Practice management · Made in the European Union · GDPR compliant

Your practice, organised. Your patients, protected.

Orbeo brings every doctor, room, appointment, record and receipt into one calm place — with privacy and security designed in from the first day, not added afterwards. In Greek and in English.

01Privacy first

Built around the GDPR, not patched to fit it.

Medical information is the most personal thing a practice holds, and Orbeo treats it that way: protected everywhere, visible only to the people who should see it, recorded every time it is touched, and truly gone when a patient asks. You can see all of this for yourself, inside the app.

Protected everywhere

Patient identities, uploaded documents, results and the doctor's notes are encrypted before they are stored — and so is every backup. A stolen disk or database copy does not hand anyone your patients' names or their files.

The right people see the right things

Doctors see the clinical picture. The front desk sees what it needs to book, welcome and bill — and you decide, role by role, exactly where that line falls.

A record of every action

Who opened which file, who changed what, and when. It cannot be edited, so a question can always be answered.

Deleted means deleted

When a patient asks to be forgotten, the whole record goes — and the practice is shown exactly what was removed and what the law requires it to keep, so it can tell the patient.

Consent you can show

Consent is signed on screen or on the tablet, kept with its date and wording, and withdrawn as easily as it was given.

Everything a patient may ask for

A complete copy of their file, ready to hand over, and a privacy notice written for people rather than for lawyers.

The privacy dashboard inside Orbeo
Your privacy dashboard: what is protected, what is recorded, what needs attention — in plain language.

And when we say it, you can check it.

Shown, not promised

The privacy dashboard inside the app shows the practice what is in place right now — not what a brochure says.

Someone is told

If something unusual happens — a wave of failed sign-ins, a large export in the middle of the night — a person is notified, not a log file.

Yours to leave

A practice can take a complete copy of everything it holds, at any time, in an open, readable format. Nothing is held hostage.

02Many doctors, one practice

Room for every doctor. Order for the whole practice.

Each doctor keeps their own calendar, hours and services. The practice keeps one clear picture of the day, the rooms and the money.

Every doctor's own calendar

Working hours, days off, personal time and a colour of their own. Rooms are booked alongside people, so a treatment room is never promised twice.

Visits with more than one doctor

A single visit can involve two or three doctors in turn. Each sees and edits only their own part; the front desk sees the whole appointment.

The services each doctor offers

When booking, only the services that doctor actually provides are offered. Doctors manage their own list.

Roles that mean something

Owner, doctor, front desk — or roles of your own. Each person sees exactly what their job needs and nothing more.

One screen for each job

A doctor's day. A front-desk board. A close-of-day summary with the takings. A wall view of every room.

03The patient record

The whole story, on one screen.

Open a patient and see what matters first — allergies, conditions, goals, the next visit — and then everything else, in order.

Lab results that read themselves

Drop in a laboratory PDF and the results are read into the record — every value, unit and range — for the doctor to check and confirm. Nothing is saved without a doctor's yes.

Trends, not tables

Every value becomes a line over time. What went up, what came down, what sits outside the range: visible at a glance.

Goals you can measure

Set a goal with the numbers behind it — cholesterol, weight, blood pressure — and watch the progress fill in as new results arrive.

Diet plans and supplements

Plans by day or by meal, supplements with dose and timing, ready to print or send — all on the same chart.

Questionnaires that come back organised

Send a questionnaire to the tablet or by email; the answers land on the chart, ready to add with a click.

Consultations, written up

With the patient's consent, a visit can be recorded and turned into a written summary for the doctor to review and keep.

04The front desk

Booking, welcoming, billing — without the juggling.

Everything the desk does in a day, in one place, in Greek.

Booking that fits

Free slots by doctor, room and service, a waiting list for cancellations, and repeat appointments booked in one go.

Reminders that actually go out

Email and SMS reminders, confirmations and cancellations, in the wording you choose.

Receipts with ΑΑΔΕ built in

Issue a receipt at the desk and it goes straight to myDATA with its official mark — printed with a code the customer can verify.

Your inbox, inside the practice

The clinic's email lives next to the calendar: reply, book, or turn a message into a new patient without leaving the page.

The tablet in the waiting room

Consent, questionnaires and check-in on a tablet you simply hand over. If the connection drops, the form picks up where it left off.

Close of day

Open visits, missing receipts, tomorrow's unconfirmed bookings and the takings — on one screen before you lock up.

05The client app

Their record, in their pocket.

Patients see their appointments, results, plans and documents on their phone — clearly, and without interpretation, which stays where it belongs: with the doctor.

Results, as the lab printed them

Values, units, dates and the laboratory's own ranges. No verdicts — those belong to the consultation.

Plans and documents

Today's diet plan, the supplements, the signed reports and the receipts, all in one place.

Appointments and reminders

Upcoming visits, a nudge before each one, and an easy way to ask for a new one.

Their privacy, in their hands

A patient can download their whole file, or ask to be forgotten, from inside the app.

Orbeo Assistant

Ask it in Greek. Or in English. Or out loud.

“Who is next?” “Book Ms Papadopoulou on Tuesday at nine.” The assistant answers, proposes, and waits for you to confirm. It can never do more than the person asking — and everything it does is written down.

  • Reads laboratory PDFs into the record, for a doctor to confirm
  • Drafts the visit summary from a recorded consultation
  • Answers questions about a patient — only with their consent, and with their name and contact details stripped out
  • Works in Greek and in English, typed or spoken
06Hosting

In Europe — or in your own building.

Your practice's data lives on a server in Frankfurt, in the European Union, in a workspace of its own. Prefer to keep it on a computer inside the practice? Orbeo runs there too.

One workspace per practice

Your data is yours alone — never mixed with another clinic's.

Backed up every night

Protected copies every night — and on our hosted service, a second copy kept somewhere else entirely.

Careful sign-in

A second step when staff sign in, a shared desk computer that looks after itself, and a quick switch between colleagues.

Always current

Improvements arrive as they are ready, and every change is explained in plain language inside the app.

Made in a clinic

Designed with doctors and the front desk — not just for them.

Orbeo grew up inside a functional-medicine practice in Athens. Every screen exists because someone at the desk or in the consulting room needed it, and said so.

07Questions

The questions a practice asks first.

Where is our data kept, and who can see it?

On a server in Frankfurt, in the European Union, in a space that belongs only to your practice — or on a computer in your own building, if you prefer. Inside the practice, each person sees only what their role needs, and you decide where that line falls. Every time a file is opened, that is recorded.

Do we still have to do anything for the GDPR?

Far less. The privacy notice, the consents, the copy a patient may ask for and the deletion are all built in. The documents a practice must keep on file come as templates we complete together at the walkthrough.

Can we leave, and take everything with us?

Yes. At any time, a complete copy of everything — every record and every document — is yours to take, in an open, readable format. Moving it into another clinical system still needs that system's own import mapping; nothing is held hostage.

What happens when a patient asks to be forgotten?

Their whole record is removed with one action, and the practice is shown exactly what was deleted and what the law requires it to keep, such as receipts.

Does the assistant see our patients' names?

When it answers questions about a patient it works with the name and contact details stripped out, and only with that patient's consent. When it reads a laboratory report it sees what is printed on it, handled in the European Union under contract. In every case a doctor confirms before anything is saved.

What does it cost?

It depends on the number of doctors and locations, so we quote after seeing how your practice works. The walkthrough is free.
